Many foreign professionals are surprised by how much importance Spain gives to paperwork. A boarding pass, a card receipt or a confirmation email may prove that you spent the money, but they are not what the Tax Agency asks for when it reviews your expenses.
In Spain, a deductible expense needs a proper invoice in your name.
And the invoice needs a payment that matches it.
Why does Spain insist on invoices?
Because your expenses reduce your taxable income, and to deduct them you must be able to show that they are real, linked to your activity and properly documented. The document that does this is the full invoice issued to you, with your name and tax identification number, not a simplified ticket or a booking confirmation.
What a sound record looks like
For each expense, the Tax Agency expects to be able to see:
- A full invoice issued in your name, with your tax number.
- Proof of payment: a bank transfer or card payment that matches it.
- A clear link between the expense and your professional activity.
- The invoice recorded in your books for the right period.
If any of these is missing, the expense becomes harder to defend.
A separate bank account helps
It is not compulsory, but it makes everything easier. A bank account used only for your activity, even with a digital bank, keeps professional income and expenses apart from personal ones. Matching each invoice with its payment becomes a matter of minutes, not an exercise in memory.
An example: the flight that was not deductible
A consultant travels to a client meeting and keeps the boarding pass and the booking email. Months later, in a review, she is asked for the invoice. She has to request it from the airline, in her name and with her tax number, and it takes weeks. Asked for at the time of booking, it would have taken one click.
How long to keep records
Keep invoices, receipts and bank statements for at least the period during which the Tax Agency can review your returns, and ideally longer. In practice, keeping everything for six years, in digital form, covers you comfortably.
