No more Excel invoices
The time of Excel invoices is coming to an end. As of July 1, 2025, all companies in Spain will have to use approved electronic invoicing systems to ensure the integrity, traceability and authenticity of their records. This means that it will no longer be legal to issue invoices using traditional tools such as spreadsheets. Adapting to the regulations is not only an obligation, but also an opportunity to improve administrative and fiscal management using software such as Holded.
The end of Excel invoices: Why is the regulation changing?
The transition to electronic invoicing has a clear objective: to combat tax fraud. The use of spreadsheets such as Excel to issue invoices leaves room for manipulations and errors that hinder control by the Tax Agency.
With the entry into force of the new regulations, it will be mandatory to use software that guarantees the traceability and security of the invoices issued, ensuring that they cannot be altered once they have been generated.
Tools such as Holded, an ERP adapted to the needs of SMEs and freelancers, are a simple solution for complying with the regulations, avoiding penalties and optimizing invoicing processes.
What does this mean for SMEs?
For many small businesses, Excel has been a cost-effective and flexible solution for invoice management. However, continuing to use these tools after July 1, 2025 will mean non-compliance with regulations, which can lead to significant fines and problems with the IRS.
The main challenges for SMEs will be:
✅ Abandon traditional processes that no longer comply with legislation.
✅ Select an approved electronic invoicing system.
✅ Train your teams in the use of new digital tools.
Why do we recommend Holded?
The transition to electronic invoicing can be complex for some SMEs, but tools like Holded make the process much simpler and more efficient.
We recommend Holded because:
🔹Automates invoicing and taxes, avoiding manual errors.
🔹Complies with electronic invoicing regulations, ensuring traceability and security.
🔹 It integrates other key processes, such as inventory management, CRM and project management, all in one system.
In addition, Holded is easy to use and adapts to the size and needs of each business.
Don’t get left behind
The obligation to issue electronic invoices is a reality that is just around the corner. Although the change may be an initial challenge, adopting an electronic invoicing system such as Holded not only ensures legal compliance, but also improves the efficiency, control and security of administrative processes.
📌 Are you ready for the change? If your business is still using Excel for invoicing, it’s time to make the leap to a system that guarantees traceability, security and tax compliance.
